Student Travel Registration

Graduate and Research Students: If you are receiving funds from a grant, you are required to book your travel through Concur. Please follow the instructions on this page. All other students should complete the steps below.

Step 1

You will need a travel itinerary, so begin by booking your travel arrangements [flight, train, or hotel].

Step 2

Download the Safeture App.

  • Links, videos, and app download instructions can be found here.
  • Required in-app settings: From the Home Screen, push the Privacy button
  • Next, push Location Accuracy
  • Next, select Exact
  • App and phone location services must be turned "on" for the duration of your overseas travels, including non-program related travel. Do not edit or change settings until you return to the US**

**These settings ensure eligibility for all support services and assistance, including insurance. 

Step 3

In the app click the 3 dots in the bottom-right corner. Select Travel Bookings. Tap the +Add Trip button. Enter all flight information accordingly. You can add additional bookings by tapping the + Add Segment button. Once all segments have been added select the Register button to save the trip.

Step 4

Once your itinerary is saved you will get a pre-travel email from Safeture. Click in the link in the email for the pre-travel form and complete the pre-travel form. (Check spam for the pre-travel email).

For those traveling to Critical or High Risk Countries: The completion of the Pre-Travel Form (recieved from Safeture) is sent to the Travel Oversight Committee (TOC). They will review trip information and are the final step in approving/denying travel. If it is approved, you will receive an email notification and can continue with pre-booked travel. Should travel be denied, you will have the opportunity to appeal based on policy 11.4. The chair of the TOC will follow up with guidance on the appeal process.

After you have filled out the Pre-Trael Form, your travel registration is complete. 

Step 5

Familiarize yourself with current Travel restrictions and download the Safeture mobile app.
