Zoom Retention FAQs
Review existing Panopto recordings and decide what should be moved to a long-term storage solution, either for your own personal use or for purposes of record retention in accordance with SMU鈥檚 records management policies.
- Download any Panopto or Zoom recordings that will require long-term storage.
- Review links to Panopto or Zoom Cloud video content and update those links to the new long-term locations of the recordings.
Although you may keep your recordings on the Zoom cloud for immediate viewing and sharing, SMU has multiple options available to upload your content for semester-over-semester storage.
- Box is a cloud storage solution offered to students, faculty, and staff. Recordings may be stored and shared via SMU Box, but the video playback features are limited since it's not a streaming platform.
- OneDrive is an online storage solution in Microsoft 365 and allows 1TB personal storage. Recordings stored and shared via OneDrive can be played back in your browser.
Once an individual leaves the university, the recordings become orphaned and others will lose access. It may be best to store long-term videos in a departmental space in Box or MS Teams if others will still need to access the recordings.

FAQs for Zoom AI Companion
Like Zoom meeting recordings, meeting summaries are retained in your SMU Zoom account for 30 days. After 30 days, the meeting summaries will be deleted and placed in the Meeting Summary Trash. The summaries will remain in the meeting summary trash for 30 days. During those 30 days, it is possible to restore the summary. After 30 days in the trash, the meeting summary will be permanently deleted. See for more information on recovering deleted items.
Zoom Meetings summaries are initially available ONLY to the meeting host. It is the responsibility of the meeting host to review all content generated by Zoom AI Companion prior to sharing it with others (See Using Zoom AI Companion). After reviewing the content, the meeting summary can be shared via email or can be downloaded and then uploaded to a Team chat or shared document library.
Zoom AI Companion is a generative AI digital assistant, delivering powerful, real-time capabilities to help users improve productivity and work together more effectively. The AI Companion currently works with Zoom Meetings, Recordings, and Whiteboards.
Generative AI is a type of AI that can create new content, such as text, images, videos, and audio based on training data.

To enable the Zoom AI companion features in your account, log in via the web browser at smu.edu/zoom and click on Settings. At the top of the page will be the new AI Companion settings. There you can choose which features to enable and configure your experience.

The AI Companion page in the Zoom web portal allows meeting hosts to view, edit, and share the summaries of meetings you hosted. To access your meeting summaries, see .
Meeting summaries can also be viewed in the meeting card or your calendar within the Zoom app.
If you were not the meeting host, you must request the summary from the host.
You can find AI Companion by looking for the sparkle icon which you can click to . Note that certain AI Companion features can be enabled or disabled by the meeting host using the instructions on Zoom AI Companion page.
By default, SMU will have Zoom AI Companion features “off”. You can use the instructions in the to review your settings and ensure Zoom AI features are disabled.
If you are participating in a meeting utilizing Zoom AI Companion, you will need to reach out to the meeting host to request that the features be turned off.
